What is workplace management?

Workplace management is everything needed to keep your employees' workplaces running every day: the laptop or PC, the Microsoft account, the software, the security and help when something goes wrong. You run your business, we run the workplaces. Our workplace management covers: • Setting up new laptops and PCs with Windows Autopilot: the device configures itself the moment your employee signs in for the first time • Updates for Windows, Microsoft 365 and your applications, rolled out centrally outside office hours • Microsoft Defender on every workplace, with alerts we pick up • Security policy through Microsoft Intune: encryption, screen lock and remote wipe • Access rules and MFA through Microsoft Entra, from your own Microsoft 365 environment • Accounts and permissions arranged when people join or leave • 24/7 monitoring, so we often spot issues before your people notice them • A Dutch-speaking helpdesk that knows your environment • One fixed price per user per month: €38, cancellable monthly We do that on your own laptops and PCs, on the Online Workplace in our own data centre, or on a combination of both. Why outsource workplace management?

Outsourcing workplace management means you hand us the maintaining, fixing and securing, and get one fixed price in return. No loose hours, no surprises afterwards. Managing workplaces takes more time than most business owners expect. Every new employee has to be set up, every update has to be rolled out, every vulnerability has to be closed. Add your colleagues' questions and it easily costs you a day a week. How the Online Workplace makes workplace management simpler

Managing laptops remains work. Every device needs updates, every device can get lost or break, and every new colleague needs a properly set-up device. With the Online Workplace, that work moves from all those separate devices to one central environment in our data centre. • One environment instead of dozens of devices. We set software, updates and security rules once, and they apply to everyone straight away. • No company data on the laptop. If a laptop gets lost or breaks, your employee signs in on another device and carries on where they left off. • New colleagues get going faster. We add an account and the workplace is ready, with all the software and the right permissions. • Industry software in one place. Your packages run in the environment, not on every laptop separately, so no installing or updating per device. • A simple laptop will do. The computing happens in the data centre, so devices can be lighter and often last longer. Since 1 September 2026 that central environment runs on AVD technology. AVD stands for Azure Virtual Desktop, Microsoft's workplace technology. We run that technology on our own hardware in Eindhoven and Den Bosch, with a separate, shielded environment per company. The price is €38 per user per month + Microsoft 365 Business Premium €19.56 = €57.56 all-in. If you already have Business Premium, you only pay the €38. What you get exactly is on the page about the Online Workplace. Prefer your own laptops? We manage those completely too, through Microsoft Intune: updates, security policy, software distribution and remote wipe when a device is lost. We call that Modern Workplace, from €10 per device per month. What gets arranged per device, from Autopilot to remote wipe, is on device management. Many clients combine the two: an Online Workplace for the people working with industry software, managed laptops for staff on the road. We advise which combination fits you and work out the numbers.

From first workday to offboarding

Onboarding and offboarding

New employee? We set up the workplace: create the account, assign the licence, install the software, set the permissions and prepare the device. A new laptop sets itself up through Windows Autopilot as soon as your employee signs in. If your team works on the Online Workplace, it is even simpler: we add the user to your environment and everything is ready. A new workplace is usually ready within a few hours, with exactly the permissions their role calls for. Employee leaving? We block access straight away, archive the data according to your retention policy and wipe the device, in line with the GDPR. That process is standardised and documented, so you can always show who had access and when it was revoked. No more manual checklists and no forgotten accounts left open for months.

Security and reporting

Security is part of the management, not a separate package. Standard on every workplace: • Microsoft Defender, with alerts we handle • MFA through Microsoft Entra, from your own Microsoft 365 environment • Access rules per role, so people only reach their own data • On laptops and PCs: BitLocker encryption and remote wipe through Intune • On the Online Workplace: a secure connection through Microsoft's management layer, encrypted storage and daily backups in our second data centre Virtual Computing is ISO 27001 certified. Workplace management for SMBs

We work for companies with 5 to 250 employees. That is the size where an in-house IT department does not pay off yet, while the demands on security and availability are those of a large company. For those companies workplace management is a fixed rate per workplace per month: €38 per user, cancellable monthly. Everything above is included. If people join, workplaces are added and you pay for the new number from that month onwards. If your team gets smaller, the same works the other way round. What SMBs get out of it in practice: • One point of contact instead of a supplier per component • Fixed monthly costs, so a budget that holds up • Security that matches what clients and insurers ask for these days • A helpdesk your people know by name We have been managing workplaces for SMBs in Brabant and beyond since 2006: construction firms, law firms, dental practices and accountancy firms. Every sector has its own software and its own requirements, and we take that into the management. Taking over the management of a company with 10 to 20 employees usually takes 2 to 4 weeks, without downtime. We start with an inventory of what you have, then take over the monitoring and introduce ourselves to your people. If you are planning something new, such as an extra location or a new software package, we think along in advance so it does not become an outage later. If one colleague currently does the IT on the side, we take those tasks over and that colleague stays the contact person. Your Microsoft 365 environment managed too

A workplace is only finished when the Microsoft 365 environment behind it is managed too. That is a separate module on top of workplace management: +€5.50 per user per month. With a Microsoft 365 Business Basic licence added, you end up at €10.70 per user per month. Microsoft 365 management covers: • Licence advice, so you do not pay for what you do not use • Daily backup of mail, OneDrive and SharePoint, separate from Microsoft • Setting and maintaining security policy: MFA, conditional access and shared folders • User management: creating, changing, blocking and cleaning up • A helpdesk for your people's questions about Outlook, Teams and SharePoint The Online Workplace comes with Microsoft 365 Business Premium. That licence already contains the security you need anyway, so you do not pay twice for the same thing. The sum is then €38 + €19.56 = €57.56 all-in. Yes. We take over management of your current workplaces as they are. We start with an inventory, get the monitoring, Microsoft Defender and the updates in order, and then pick up what we run into. If you want to move to the Online Workplace later, we plan that step separately, at a moment that suits you.

It is a separate module of +€5.50 per user per month: licence advice, backup of mail and files, security policy, user management and the helpdesk. With a Microsoft 365 Business Basic licence added, you end up at €10.70 per user per month. The Online Workplace comes with Business Premium, which already contains the security.

Workplace management is about what your employees use every day: their laptop or PC, their account, their software and help with questions. System administration is about what runs behind it: servers, network, storage and backups. We do both. With the Online Workplace, system administration of the environment is already part of the management, because the servers are in our own data centre.

Our focus is Windows and Microsoft 365. macOS devices are covered by device management through Microsoft Intune, with updates and security policy. For Mac-specific software we look at what is possible case by case.

Usually within a few hours. On an Online Workplace we add the user to your own environment and everything is ready the moment they log in. Complex configurations with industry software are arranged within one business day.

We block the device remotely straight away and wipe the company data. If the employee works on the Online Workplace, no company data sits on the device itself: they log in on another device and continue where they left off.

Yes. You receive a monthly report on updates, security alerts, incidents and the overall health of your workplaces, including the attention points we see.

From around five workplaces, outsourcing is usually cheaper than doing it on the side yourself. We work for companies with 5 to 250 employees. If you have fewer, we look at a lighter package: Microsoft 365 management only, or device management only.

A company with 10 to 20 employees usually takes 2 to 4 weeks, without downtime. We start with an inventory, set up the monitoring, Microsoft Defender and the updates properly, and then take over the helpdesk. In practice your people notice little of it, other than that the helpdesk is easier to reach.
