Which Microsoft 365 license fits an SMB?

Microsoft 365 comes in dozens of license variants — Business Basic, Business Standard, Business Premium, Apps for Business, plus the entire Enterprise line. For SMB owners, the choice is often confusing and expensive when made wrong. In practice, SMBs land on one of three flavors: • <strong>Business Basic (€6.00 p/m)</strong> — For employees who only use web versions of Office, Outlook mail and Teams. Suitable for front-office, office support and flex workers. • <strong>Business Standard (€12.50 p/m)</strong> — Including installed Office apps (Word, Excel, PowerPoint, Outlook desktop). The standard for most SMB employees. • <strong>Business Premium (€22.00 p/m)</strong> — On top of Standard you get Intune (device management), Defender for Business (security), Azure Information Protection (data classification). SMB owners regularly ask us the same questions. The three most common: 'Can I keep my current email?' — Yes. We migrate your existing emails (and calendars, contacts, shared mailboxes) to Microsoft 365. Your employees keep the same address and see all their old messages. 'How much does switching cost?' — Licenses are per user per month. The one-time migration depends on complexity and size — on average €1,500-€4,500 for an SMB of 10-25 employees. 'What if Microsoft raises prices?' — Microsoft adjusts prices periodically (last increase: 2024). We inform you in advance and check whether a different license mix works out better. Which Microsoft 365 license do I need for my SMB?

For most office workers, Business Standard (€12.50 p/m) suffices. Do you have security requirements or many mobile workers? Then we advise Business Premium (€22.00 p/m) for Intune and Defender. We provide free license advice based on your employee roles.

Can I keep my current email during migration?

Yes. Your employees keep the same address and all their old messages, calendars and contacts are migrated. The migration runs without downtime.

Is Microsoft 365 Backup really necessary?

Yes. Microsoft protects against hardware failure, but not against ransomware, accidental deletion or insider threats. An independent backup in a separate datacenter is not a luxury but a requirement for compliance (ISO 27001, NIS2).

Can I combine Microsoft 365 with a cloud workplace?

Certainly. Many SMB clients combine Microsoft 365 for email/Office with our Online Workplace for business software (accounting, CRM, industry-specific). Single Sign-On works seamlessly between both.

What does a Microsoft 365 migration cost for an SMB?
