Are you overpaying for Microsoft 365?

Many SMBs pay every month for licences nobody uses — or for a costly E3 or E5 where Business Premium would do fine. Our free licence check finds it, so you keep exactly the licences you actually need.

The problem

Where is the wasted money?

Microsoft 365 licences pile up unnoticed. A few common leaks we see almost everywhere: • Licences for former employees that keep running for months — sometimes years. • Over-spec licences. An E3 or E5 assigned where Business Standard or Premium serves the user perfectly. • Unused add-ons. Visio, Project or a stand-alone Power licence nobody opens. • Duplicate functionality. You pay separately for something already included in your licence. • One licence for everyone. A warehouse worker rarely needs the same licence as the director. The total usually disappoints: across most SMB environments we review, 20-30% of licence cost can be saved — without anyone losing anything.

The licence check

What we check in the licence check

We look not only at what you have, but at what is actually used: • Inventory of every assigned Microsoft 365 licence and add-on. • Active usage per user — who uses what, and who uses nothing. • Tier fit: does the licence (E1, E3, E5, F1, F3 or Business Basic/Standard/Premium) match the role? • Security coverage: are you paying twice for security, or is it missing? • Contract form: annual vs. monthly, and what Microsoft's price increase (July 2026) means for you. You get a clear report with your savings potential in euros and a concrete action plan. Then you decide — no strings attached.

Right-sizing

Which Microsoft 365 licence do you really need?

Most SMBs are best served by the Business line: • Business Basic — mail, Teams and the web and mobile Office apps. For people who rarely use desktop Office. • Business Standard — the above plus the full desktop Office (Outlook, Word, Excel, PowerPoint). • Business Premium — Standard plus advanced security, Intune device management and Defender. Often the smartest choice for SMBs. The Enterprise licences (E3, E5) are meant for larger or more complex organisations. If they are handed out broadly at your company, that is usually the first place to find savings. We advise the right mix per role — not the most expensive package for everyone.

Frequently asked questions

Yes. You get a report with your savings potential at no cost and with no obligation. Only if you want us to handle the optimisation and management do we make a proposal.

After a short intake we usually deliver the report within 5 working days.

No. The check is free of obligation. Many companies do become clients afterwards because having management and savings in one hand is convenient — but that is up to you.

Business Premium covers most SMB needs including advanced security and Intune. E3 and E5 mainly add enterprise features (compliance, advanced analytics, telephony) and cost more. For most SMB staff Business Premium is enough — that is often where the savings are.

It varies per environment, but across most SMBs we review, 20-30% of licence cost can be saved — without anyone losing functionality.

Read access to your Microsoft 365 admin environment (or a short session together). We do not need access to your content — only to the licence and usage data.

The goal is precisely that no one notices anything, except a lower bill. We only change what is safe and confirm every change with you in advance.
