Calling via Teams: how does it work?
Calling with Microsoft Teams is a handy way to stay in touch with colleagues and customers. It integrates well with other Office 365 applications, making it easy to work from a single platform. To call via Teams you first need an active Office 365 subscription, since Microsoft Teams is part of the suite. That gives you access to all the features and applications you need. Once logged into your Office 365 account, you can get started with Teams and start calling.
Make sure you have an Office 365 package
Before you can start calling via Microsoft Teams, you need a valid Office 365 package. This package includes all the tools ā including Microsoft Teams ā needed for effective collaboration and communication. If you don't yet have an Office 365 subscription, you can get one through Virtual Computing. Make sure you choose the right package that supports calling and the other features you want ā we can help. After purchasing and installing Office 365, you're ready to use Microsoft Teams.
Open Microsoft Teams
With a valid Office 365 subscription you can open Microsoft Teams. Install the Teams app on your computer or mobile device, or use the web version via your browser. Sign in with your Office 365 credentials to access your teams, channels and contacts. The Teams home screen shows the various sections ā chat, teams, Outlook calendar and calls. Thanks to the user-friendly interface you can navigate easily and find the features you need. Make sure your internet connection is stable so you can call without disruption.
Navigate to the calling icon
In Microsoft Teams the calling icon is in the sidebar on the left of the screen. Click it to open the calling page. Here you see an overview of recent calls, contacts and a numeric keypad for entering phone numbers. This screen lets you start a new call quickly or reopen earlier calls. The calling icon is designed to keep navigation simple, so you can start a conversation easily ā whether it's an internal or external call.
Pick a contact / phone number
To start a call with the Microsoft Teams phone, pick a contact or phone number. In the calling screen you can search your contacts or enter a phone number directly via the keypad. Once you've found the contact or number, click it to start the call. Teams also lets you save contacts and create shortcuts for frequent callers. This makes the calling process faster and more efficient, so you can connect right away.
Start the call
Once you've selected a contact or phone number, start the call by clicking the call button. Teams will try to connect with the other party, and you'll get a notification when the call is answered. During the call you can use various features such as muting your microphone, transferring calls, seeing incoming calls, enabling video and screen sharing. After the call you can hang up by clicking the hang-up button.
Video calling is also possible
With Teams you can easily start video calls, individually or in groups. Just open the Teams app, start a call from a chat or schedule a meeting in the Teams calendar. Teams provides crystal-clear video quality, screen sharing and collaboration tools such as virtual backgrounds and live captions. That makes Teams suitable for a quick check-in, a formal meeting or a presentation. Teams enables effective communication and collaboration regardless of where the participants are located.
Can you use a fixed number?
Yes. You can use a fixed number in Microsoft Teams by getting a Microsoft Teams Phone licence. This subscription integrates fixed phone numbers into your Teams environment, allowing inbound and outbound calls to be managed via Teams. After getting a suitable Microsoft 365 subscription and the Teams Phone System licence via Virtual Computing, you migrate your existing phone number. You then configure the phone system in the Microsoft Teams Admin Center and assign the number to users. Users can then make and receive calls on their fixed number via the Teams app.
